Overview
MongoDB.local is MongoDB's flagship in-person developer event series, bringing together developers, customers, and partners across Asia Pacific. The program combines technical learning, community building, and business conversations in a single in-person experience.
Led by Benjamin Chia, who heads Strategic Events for MongoDB across Asia Pacific, the team delivered multiple MongoDB.local events across the region last year. Each was tailored to local market needs while maintaining a consistent global standard of experience and execution.
With hundreds to thousands of attendees per event, multiple content tracks, partner activations, and complex onsite logistics, the challenge was not just the size of each event — but delivering scale with consistency across the region.
The Challenge
Before adopting a unified approach, check-in and attendee management relied on a combination of tools and processes that varied by city and agency partner. While this supported local flexibility, it introduced gaps in several areas:
- Queue management and overall arrival experience lacked consistency
- Data accuracy and real-time visibility during events were limited
- Post-event follow-up and reporting varied across locations
At regional scale, even small operational differences compound. Benjamin's team set out to solve three core problems: consistency across markets, operational efficiency onsite, and reliable real-time data so teams could make informed decisions during and after each event.
"It wasn't just about check-in. It was about professionalising the entire front-of-house experience at scale."
Rolling Out at Regional Scale
MongoDB approached the rollout as a regional standardization effort, not just a tool deployment. That meant defining a repeatable operating model, ensuring the platform could work across different venues, languages, and teams, and rolling it out in a way that felt practical for local execution.
APAC's diversity demanded careful consideration across multiple dimensions:
- Venue infrastructure differences across cities
- Local agency workflows and staffing variations
- Language requirements and internet reliability constraints
- The need for consistent deployment and support at a high operational standard
For team adoption, the focus was on clarity and confidence. MongoDB provided clear playbooks, simple structured onboarding, and demonstrated how the platform would make event-day operations easier rather than more complex. Rapid chatbot assistance and direct access to the Micepad team ensured teams felt supported throughout.
"Once teams experienced the operational benefits firsthand, adoption became both smooth and natural."
The Event Day Experience
On event day, the difference was immediately visible. Check-in became fast, structured, and easy for staff to manage — even as attendees arrived in waves. The team had real-time visibility into attendance, enabling stronger on-site coordination:
- Sales teams could track and meet key clients in real time
- Technical reviews and meetings ran on schedule
- Room capacity and catering flow were managed proactively
- Overall event logistics ran smoothly from start to finish
One of the clearest indicators of success was seeing large arrival volumes processed quickly without queues forming, freeing the team to focus on welcoming attendees rather than troubleshooting logistics.
"Even in the rare instances where minor issues arise, the Micepad team is onsite to resolve them quickly and restore operations within minutes."
The platform integrated so naturally into the team's operating rhythm that it became invisible — which, as Benjamin noted, is usually a strong indicator that a tool is supporting the experience effectively.
Results
MongoDB saw measurable improvements across every dimension of their event operations:
- Faster and more efficient check-in experiences across all locations
- Improved real-time data visibility during events
- Greater consistency in execution across cities
- High-volume SMS and WhatsApp reminders with direct QR code access
Beyond the operational metrics, the most significant shift was in confidence. Teams felt increasingly in control of the attendee experience, especially when running multiple events within the same country. While the first event established the foundation, subsequent executions became progressively smoother.
Attendees experienced a more seamless arrival, and internally, teams spent less time managing operational issues and more time focusing on engagement and content — where the real value of events becomes most visible.
"For programs like MongoDB.local, the arrival experience sets the tone for the entire day. Having a platform that ensures speed, accuracy, and visibility allows our teams to focus on what matters most — engaging the community and delivering meaningful event experiences."
